Cross-trained clinical and clerical Position:
 
Coordinates activities of the front office for scheduling patient office visits, procedures, and tests with proficiency and compliance. Inputs patient demographic and insurance information to insure successful processing and payment of claims. Provides secretarial support for physicians and administrative staff.
 
Acts as collaborative member of the clinic team by providing quality patient assistance and service. Manages multi-line phone system. Provides patient education in reference to departmental expectations and provides staff support.
 
Assists with operations of a fast-paced clinic, to include the effective management of clinical systems, human resources, financial and environmental management. Offers support for providers and nursing staff when needed. Assists to ensure continuous patient care through registration and collections. Continually exhibits the ability to work with others for the betterment of customer service and patient care.
 
Additionally, under the direct supervision of licensed Registered Nurses, Advanced Practice Nurses, or the physician, the Office Coordinator performs various duties to assist in the care of patients in accordance with established policies and procedures. These duties include, but are not limited to, patient education, ambulation assistance, toilet assistance, transporting, and patient referrals. Maintains annual skills as set for both clinical and clerical staff.

Responsibilities

Minimum Knowledge, Skills, Responsibilities, Experience Required: 
 
• Skills/Abilities: 
1. Greets patients and visitors in a prompt, courteous, and helpful manner. Communicates effectively with patients and/or family members to obtain needed patient demographics, insurance information, and co-payment collections.
2. Maintain cash drawer and follow departmental policy for beginning of the day report.
3. Responsible for excellence in customer service and ensuring patient needs are met.
4. Responds to routine requests for information/service and directs visitors/patients to appropriate medical staff.
5. Adheres to office scheduling policies and makes and cancels appointments including, but not limited to, office visits, tests, and procedures through the office scheduling and hospital system. Obtain pre-certification and/or referrals for patient appointments when necessary.
6. Communicates all no shows/cancelled appointments and calls patients to reschedule as needed.
7. Verifies insurance when appropriate.
8. Enters and updates patient information in the computer system to include place of service, insurance type, policy holder, provider of service and referring physician.
9. Answer telephone in a timely manner, screens calls, takes messages, consults, and provides information.
10. Checks out patients, makes follow-up appointments, and completes end of day deposit according to policy.
11. Manages and maintains physician and clinic schedules appropriately. Updates office schedule regularly for patient additions/cancellations.
12. Completes assigned responsibilities in an appropriate time frame.
13. Demonstrates flexibility when involved in changing situations.
14. Demonstrates professionalism in appearance and actions. Follows hospital and department specific dress code policy.
15. Attends required meetings. Participates in staff development and education activities.
16. Maintains work area and lobby in neat and orderly manner.
17. Maintains patient confidentiality.
18. Complete referrals in a timely manner.
19. Scan documents to Medical Record and complete all documentation in a timely manner.
20. Operate general office equipment and multi-phone system.
21. Sort and file materials, records, and paperwork.
22. Read, understand, and follow oral and written instruction.
23. Communicate clearly in speech and writing including grammar, spelling, and punctuation.
24. Establish a course of action, prioritize goals, and manage time effectively.
25. React calmly and effectively in all situations while identifying problems and suggesting solutions.
26. Notify appropriate staff of medical emergencies. Ability to communicate emergent needs or transport information to 9-1-1 operator as appropriate.
27. Establish and maintain effective working relationships with patients, families, providers, and co-workers.
28. Knowledge of the organization’s policies, procedures, and safety precautions to maintain a safe and compliant working environment.
29. Effective work habits such as regular attendance, teamwork, initiative, efficiency, dependability, and promptness.
30. Maintains competent skills in performing EKG’s.
31. Maintains basic knowledge and skills to recognize abnormal EKG rhythm.
32. Maintains current BLS certification
33. Other duties as assigned.

Qualifications

• Experience:  Prefer one-year experience in a medical office setting. Knowledge of medical terminology and insurance verification desirable. Word processing and computer experience desirable.
• Education:  Highschool diploma or equivalent required.
